Engage a contractor
Record an independent contractor's engagement, then follow it through our review, payment and the signed agreement.
Through our Contractor of Record service, EU Presence countersigns your contractor's engagement agreement. You record the engagement on one form, and nothing is charged until our team has reviewed it.
Before you start
- The contractor must live in a country we work in: Austria, Belgium, Finland, France, Germany, Ireland, Italy, the Netherlands, Poland, Portugal, Spain or Sweden.
- Members of your workspace can record an engagement, but a member with the DPO role can't open People. Paying the monthly fee afterwards is for admins only (see roles and permissions).
Fill in the engagement form
- Go to People › Contractors and select Engage contractor.
- Complete the three sections of Engage a contractor, described below.
- Select Engage contractor at the foot of the form.
Person
Full name and Role are required. Country of residence starts at the Netherlands.
Engagement
Pick an Engagement type. The label of the rate field beside it follows the type you pick. The rate is optional and is recorded in euro.
| Engagement type | Rate field |
|---|---|
| Monthly retainer | Monthly retainer |
| Hourly | Hourly rate |
| Milestone-based | Fee per milestone |
| Fixed project | Project fee |
Start date starts at today. Under Term, choose Open-ended · 30-day notice, or Fixed end date and then an End date, which can't be before the start date. Payment can't be started for a contractor whose record has an end date, so a contractor engaged with a fixed end date can't be paid for or onboarded.
Intellectual property
IP assignment is Client-owned (work for hire), Shared (per work order) or Contractor-owned (license back). The form suggests client-owned for engineering and design work, and shared or contractor-owned for advisory or content engagements where the contractor keeps rights. The term you pick is recorded on the engagement agreement.
What happens next
- The contractor appears in the Contractors list as Awaiting review, and their engagement agreement appears on the Engagements tab as Awaiting signature. Our operations team is emailed, and the engagement is recorded in your workspace's Notifications.
- Our team reviews the engagement and approves it. Approval charges nothing. The member who recorded the engagement is emailed, and the status changes to Awaiting payment.
- An admin pays the monthly fee from the contractor's record, and the status changes to Ready for finalization. See Pay for a contractor.
- Our team files the executed engagement agreement, which then reads Signed. See Find a contractor's engagement agreement.
- Once the first month is paid and a signed agreement is on file, our team completes onboarding, and the record's Onboarding reads Onboarded. The list then shows the contractor as Active, or Pre-start until their start date.
Our emails about an engagement go to the member who recorded it. They still see each step in Notifications if they've turned off Email me when EU Presence files something under Account › Profile.
