Work with your DPO

Each DPO service has its own page and conversation. Here's how to use them, and what your DPO can see and do in your workspace.

Updated 2 min read

Every service you buy from a DPO has its own page, with its billing and a conversation shared between your workspace and the DPO. Find them under Your services on More › Data Protection Officer.

Open a service

Your services appears once you've started a purchase. Each card shows the service, the DPO, its status and its billing, with Open Conversation, or Continue Purchase while it's waiting for payment.

StatusWhat it means
Awaiting paymentChosen, not paid for yet.
Paid · arranging accessPaid. The DPO is being invited to your workspace.
Invitation sentThe DPO has been invited and hasn't accepted yet.
ActiveThe DPO has joined your workspace.
EndedMarked completed, or its subscription has ended.
Declined by the DPOThe DPO turned the request down, and EU Presence refunds your payment.

Beside the conversation, the service's page has a Service Summary: the price, the engagement's status, the last payment and, for a monthly service, the Next Billing Date or the day the Service Ends. Admins also get Manage Billing or View Invoice, which open Settings › Billing.

Use the conversation

  • Each service has its own thread, Service Comments. If you wrote a first message when you bought the service, it's there under your name.
  • Write in the box and select Post Comment, or press ⌘ Enter or Ctrl Enter.
  • You can write as soon as your payment is confirmed. The DPO reads and replies once they've accepted.
  • Anyone in your workspace can read and post. The DPO can post only in the services they're assigned to.
  • New comments aren't emailed or notified, so check the service's page for replies.
  • Our team can read a conversation to help with support, but never posts in it.

A conversation closes to new messages when its service ends, and stays readable. It's also paused while a monthly service's billing needs attention, and reopens once the payment goes through.

What your DPO can do in your workspace

Once your DPO has accepted, and while at least one of their services in your workspace is paid and running, they can:

  • work in your Inbox, the compliance registers you've opened, the Privacy Center and Reports, and assign work to your members;
  • see notifications about privacy requests, content notices, letters from authorities and your Privacy Center's custom domain;
  • manage the policies and certifications on your Privacy Center, and see its other settings without changing them.

They can't reach billing or subscriptions, sign representation mandates, manage custom domains, change your organisation's details or members, or open People, Establish, Documents, the audit log or the email outbox. A register you haven't opened isn't shown to them at all. They appear under Settings › Members with the DPO role.

When a service ends, the DPO's access through it ends too. See Roles and permissions.

If access seems stuck

  • While a service reads Paid · arranging access, its page shows Your conversation is open. An admin can select Check invitation to have the invitation checked again.
  • Your DPO can accept from their own Home in EU Presence as well as from the invitation email.
  • For anything else, write to us at hello@eupresence.com.
