Upload an employee's registration documents
File the five documents the Employer of Record registration needs, one slot each, on the employee's record.
The Employer of Record registration needs five documents about your hire. You file each one into its own slot on the employee's record, and our team reads them from there.
The five documents
| Document | What it's for | Who needs it |
|---|---|---|
| Identification card | Confirms their identity for employment registration. | Everyone |
| Tax card | Used to calculate and withhold their income tax correctly. | Everyone |
| Residence and work permit with passport | Confirms their legal right to reside and work in the country. | Expats only |
| Proof of bank account | Confirms the bank account their salary is deposited in. | Everyone |
| Proof of residence address | Confirms their registered address for employment records. | Everyone |
While any of the four documents everyone needs is missing, the record says registration cannot commence until it's on file.
Attach a document
- Go to People › Employees and select the employee.
- Under Registration documents, select Attach beside the document.
- Choose the scan or photo. Each slot takes one PDF, PNG or JPEG file under 25 MB.
- Select Attach.
The slot then shows the file's name, size and date, with a download button. Our operations team is emailed which document was filed and which are still owed, the filing is recorded in your workspace's Notifications, and the upload is written to the audit log.
Replace or remove a file
Select Replace beside a filed document to put a new file in its slot. The document's link stays the same, so a link you've already shared opens the new file.
Select Remove, then Remove file, to take the file off the record and out of storage. The removal is written to the audit log, and the slot reads as empty again until you attach another file.
Who sees them
The documents stay on the employee's record. EU Presence reads them for the registration, and they're listed nowhere else, so you won't find them in Documents.
Once an employee reads as Off-boarded, their documents can still be downloaded, but they can no longer be attached, replaced or removed.
