Sign the representation mandate
What each register's mandate appoints EU Presence to, how to sign it in SignNow, and where the signed copy is filed.
The representation mandate is the written instrument that appoints EU Presence as your representative for one register. Each register has its own mandate, because each statute defines the role differently. You sign it inside the platform once the register's subscription is active.

What those provisions say:
- GDPR Article 27(1) and (4): a controller or processor outside the Union that Article 3(2) reaches designates a representative in the Union in writing, mandated to be addressed, in addition to or instead of it, by supervisory authorities and data subjects on all issues related to processing.
- DSA Article 13(1) and (2): a provider of intermediary services with no establishment in the Union that offers services there designates a legal representative in writing, in one of the Member States where it offers them, mandated to be addressed, in addition to or instead of it, by the Member States' competent authorities, the Commission and the Board on all issues necessary for the receipt of, compliance with and enforcement of decisions issued in relation to the Regulation.
- NIS 2 Article 26(3): an entity of the kinds listed in Article 26(1)(b) that isn't established in the Union but offers services there designates a representative in one of the Member States where it offers them, and falls under that Member State's jurisdiction.
- AI Act Article 22(1) and (3): a provider established outside the Union appoints an authorised representative by written mandate before making a high-risk AI system available on the Union market. The mandate empowers it to carry out the tasks Article 22(3) lists and to be addressed by the competent authorities on all issues of compliance.
- GPSR Article 16(1): a product can't be placed on the market unless an economic operator established in the Union is responsible for the tasks in Article 4(3) of Regulation (EU) 2019/1020. We hold that role as an authorised representative with your written mandate, under Article 4(2)(c) of that Regulation.
Before you sign
- You're a workspace admin. Only admins sign the mandate; a DPO you've engaged can't.
- The register's subscription is active. Until then the row says to subscribe first; see Open a register.
- The company's Registered address is saved under Settings › Organization.
- Your account has a first and last name. Without one, signing stops with Add your first and last name to your profile before signing. and an Open your profile link.
The particulars it carries
The platform fills in the mandate's particulars and locks them, so the signed copy says what the platform holds:
- the company's legal name, registered address and country, from Settings › Organization;
- your full name, as the person signing for the company;
- your account's email address, with your phone number if your account has one;
- the date.
Correct anything wrong in Settings › Organization or your profile before you open the mandate. If you change a detail after opening it, decline it in SignNow, then select the row's button again: a fresh copy is made with the new details. The platform has no way to re-sign a mandate once it's signed, so if a particular changes after that, write to us at hello@eupresence.com.
Sign it
- On the register's locked page, select Sign the mandate on the second row.
- A panel opens, titled for the register, for example Article 27 representative mandate, and loads the document from SignNow.
- Sign inside the document. If the document won't load or the session has expired, select Get a new link at the foot of the panel.
- When you finish, the panel shows it's waiting for SignNow, and the row reads Awaiting SignNow's confirmation with a Signature placed badge. The register opens the moment SignNow confirms. You can close the panel: the tab keeps waiting.
If you started signing earlier, the button reads Continue signing. If another admin started and didn't finish, the row shows Awaiting signature and names them; if you sign instead, their copy is set aside and a fresh one is made in your name, because the mandate names its signatory. If you decline in SignNow, the row says so, and selecting its button again makes a fresh copy.
Where the signed mandate goes
- It's filed in Documents as a Representation mandate, named after the register, for example
privacy-representation-mandate.pdf. See finding a document. - The register's Settings tab shows it with Download mandate, its signatories and its details. See View your signed mandate and billing.
- Your workspace gets a notification, for example EU Presence received the signed Privacy representation mandate, and our team is told by email.
The mandate has no expiry date of its own. The Valid through date on the Settings tab is the end of the subscription period you've paid for.
