Open a register
Subscribe in Stripe's checkout, then sign the representation mandate in SignNow, and the register's tabs unlock.
Each of the five registers (Privacy, Content Safety, Cyber Resilience, AI Governance and Product Safety) opens on its own. You subscribe to it first, then sign its representation mandate, which appoints EU Presence as your representative under that register's statute. Until both are done, the register stays locked.
What a locked register shows
Open the register from Compliance in the sidebar, for example Compliance › Privacy. Every tab except Representative wears a lock, and every tab, Representative included, shows the same card in place of the register:
- The title names what's owed, such as Subscribe, sign the mandate, and Privacy opens. A count under it, such as 0 of 2 done, tracks the two steps.
- Before Privacy opens holds the two steps as rows: the subscription, with its price as Stripe states it, then the mandate.
- What opens lists the tabs the register unlocks, with a line on each.
A DPO you've engaged can't reach a register that isn't open: its page takes them to the Compliance overview.
Before you start
- You need to be a workspace admin. Only admins subscribe to a register and sign its mandate, and a DPO can do neither. Colleagues you invite join as Admin; see roles and permissions.
- Save the company's Legal name and Registered address under Settings › Organization. Stripe bills the company by its legal name, and the mandate names the company by its legal name and registered address. See your organisation's details.
- Add your First name and Last name under Account › Profile. The mandate names you as its signatory, and those lines can't be edited while you sign.
Step 1: subscribe
- On the first row, select Subscribe to Privacy (the button names the register). The row gives the price and, for a register that bills usage on top, what the fee includes and what each unit beyond it costs.
- Stripe's checkout opens in a panel titled Privacy subscription. Pay by card inside the form.
- The row then reads Awaiting Stripe's confirmation, with a Payment submitted badge, and becomes Subscribed to Privacy when Stripe confirms. You can close the panel: the tab keeps waiting.
If you close the panel before paying, the row reads Finish the checkout, and Continue to checkout takes you back to it. A checkout left unpaid for an hour lapses, and the row then offers Subscribe again. The row's price says how often you're billed. If you cancel, the register stays open to the end of the period you've paid for; see cancelling a subscription. Billing itself is covered in Manage billing and usage charges.
Step 2: sign the mandate
Once the subscription is active, the second row offers Sign the mandate. The mandate opens in SignNow inside a panel. Sign it there, and the row reads Awaiting SignNow's confirmation until SignNow confirms your signature. Sign the representation mandate covers what you're signing and what to do if signing stalls.
What opens
The register opens the moment SignNow confirms the signature: the locks come off and each tab shows its own work.
| Register | Tabs that open | Statute |
|---|---|---|
| Privacy | Requests, RoPA, Sub-processors, DPIA, Frameworks, Settings | GDPR |
| Content Safety | Reports, Transparency reports, Settings | DSA |
| Cyber Resilience | Incidents, Settings | NIS 2 |
| AI Governance | Registered systems, Conformity assessments, Settings | AI Act |
| Product Safety | Product registry, Manufacturers & brands, Recalls, Settings | GPSR |
The Representative tab then lists the letters authorities send us about you. The signed mandate is filed in your Documents, your workspace gets a notification, and our team is told. On your Privacy Center, the parts of a register visitors can see, such as the privacy request form, are live only while that register is open.
If the subscription lapses or ends
- A failed payment that Stripe is retrying keeps the register open, with a warning above the tabs. Update the card under Manage billing on the register's Settings tab or under Settings › Billing. See what happens when a payment fails.
- A subscription that goes unpaid or is paused closes the register. The first row reads Pay the open invoice or Billing is paused; we resume a paused subscription from Stripe.
- A cancelled subscription closes the register at the end of the paid period. The row then reads Subscribe to Privacy again, with a Subscribe again button. See cancelling a subscription.
The signed mandate stays on file in each case, so the card's title reads, for example, Subscribe again and Privacy reopens. Paying up or subscribing again reopens the register without a new signature.
