Create your workspace
Accept your invitation, then walk through the five setup steps that open your company's workspace.
A workspace holds everything EU Presence does for one company: its compliance registers, the people you hire through us, its documents and its Privacy Center. You set yours up in a short wizard, and you can change what you enter there later.
Accept your invitation
There's no sign-up form: our team opens your account by emailing you an invitation. If you haven't spoken to us yet, book a demo.
- Open the link in the invitation email. The page is titled Welcome to EU Presence.
- Choose a password. Your email address is taken from the invitation, so the password is all you're asked for.
- The setup wizard opens.
From then on, sign in at app.eupresence.com on the Log in page. If you belong to more than one workspace and none is open, you're asked to choose one first.
Go through the five steps
The steps are listed beside the form, and each step's buttons sit above it on the right.
- Your name. Enter your First name and Last name and select Continue. This is how colleagues see you in the members list and beside what you record. You can change it later under Account › Profile.
- Organization. Under Organization details, fill in:
- Logo, which is optional: a PNG, JPEG or WebP file of up to 512 KB, shown in the workspace switcher and on invitations.
- Display name: what the workspace is called in the switcher and on the invitations your colleagues receive.
- Legal name: the registered name, as it should appear on the agreements EU Presence signs for your company.
- Handle: 2 to 63 lowercase letters and numbers, with single hyphens between them. Your Privacy Center is served at
your-handle.prvcy.center.
- Registered address. Choose the Country of registration, then fill in Address line 1, the City, and the state or province where the country uses them. The postal code and Address line 2 are optional. The representation mandate and the data processing agreement print this address. Select Create organization.
- Key people. Under Primary contact, pick the member EU Presence asks when a decision about your company is needed. You're picked to start with. This isn't your legal representative, which is a separate, signed designation. To invite colleagues now, select Invite member under Pending invitations. Then select Continue to save the contact, or Skip for now to name nobody yet.
- All set. The Summary shows the company and the primary contact. Select Go to home to finish.
Selecting Create organization creates the workspace and makes you its admin. If the handle is already in use, the step says so; select Back and choose another.
The rest of your company's record, such as its registration and VAT numbers, is kept under Settings › Organization (see organisation details). The handle can be changed there too, but links to your Privacy Center that have already been shared stop working.
Until setup is finished
The app stays closed to the workspace's admins until someone selects Go to home on the last step. Until then every page leads back to the wizard, including after you sign out and back in. It reopens at Key people, or at All set once a primary contact is saved. There's no way to skip ahead to Home: to pass Key people without choosing anyone, select Skip for now. Sign out is at the top of every step.
Everyone you invite joins as an admin, so a colleague who accepts before setup is finished is taken to the wizard too, and can finish it.
Watch the introduction video
The first time you open a page in the app, a short video, Introducing EU Presence 2.0, opens in a dialog. It's under a minute long; select Close when you're done. A bar above the sidebar and the top bar then offers Watch the video on every page, until you dismiss the bar with the cross at its end. Both are remembered for you rather than for the workspace, so the dialog doesn't open again in another workspace.
Add a second company
Each workspace is one legal entity, with its own compliance records, its own members and its own Privacy Center. Nothing is shared between workspaces.
- Open the switcher at the top of the sidebar, which shows your current workspace's name, and select Create new organization.
- The wizard opens at Organization, since your name is already known. Back to home, at the top of the page, returns you to the workspace you're in.
- Fill in the company and its registered address and select Create organization. Then finish Key people and All set for the new workspace.
You're the admin of the new workspace, and it starts on the Free plan (see Free and Pro). Use the same switcher to move between your workspaces.
