Publish a policy
Write a policy in the editor, publish its first version, and issue a new version each time it changes. A published text can never be edited.
Each policy on your Privacy Center keeps every version it has ever had, so you can always say which text was in force on a given day. A version stays a draft until you publish it, and once it's published its text can't be changed. A privacy policy is usually where you give people the information Articles 13 and 14 of the GDPR require, and Article 12(1) asks for it "in a concise, transparent, intelligible and easily accessible form, using clear and plain language".
Create a policy
- Go to Privacy Center › Policies and select New policy.
- Pick a kind: Privacy Policy, Terms of Service, Cookie Policy or Other policy. The kind fills in a name, an address and a description, which you can change on the next step.
- Under Policy, check the Name, the URL slug and the Short description. The slug is the last part of the policy's address, so a privacy policy with the slug
privacyis atacme.prvcy.center/policies/privacy. Use lower-case letters, numbers and hyphens. The slug is fixed once the policy exists. - Under First version, give the version a label in Version, such as
v1.0or a date. It must be unique within the policy. - Write the text in Body.
- Select Create and publish to issue it now, taking effect today, or Save as draft to come back to it.
Publishing records you as the person who issued the text. A first version doesn't need a summary of what changed.
Write the text
- Use the toolbar for headings, bold, italic, strikethrough, lists, links, code blocks and tables. There's no underline and no images.
- Headings become the On this page contents list on the published policy.
- The text is saved as markdown, so you can paste a markdown document and keep its headings, lists and links.
- Preview shows how the text will read once published. Edit takes you back.
Publish a new version
- On the policy's card, select Publish version. The sheet starts from the text of the version in force, if there is one.
- Give it a Version label.
- Fill in What changed. Every version after the first needs one, and it can't be added or corrected afterwards.
- Leave Takes effect empty for the version to take effect today, or pick a later date. A later date publishes it now and brings it into force on the day, and the current version stays on your hub until then.
- Edit the Body and select Publish version, or Save as draft.
Can't be undone. Once published, a version's text can never be edited. A correction is a further version.
Version statuses
| Status | What it means |
|---|---|
| Draft | Written, not published. You can edit or discard it. |
| Scheduled | Published, with a date that hasn't arrived yet. |
| In force | The newest published version whose date has arrived. It's the one your hub shows. |
| Superseded | Published, with a later version now in force. It stays on the record. |
The pill beside the policy's name reads, for example, v2.0 in force, or Nothing published while it has only drafts. Your hub shows only the version in force, with its label and the day it came into force.
Work with drafts and older versions
- Select a draft's row to open it. There you can change it and select Save draft, or select Publish… to issue it, choosing when it Takes effect. Discard draft is in the sheet's menu.
- A row's menu offers Edit draft, Publish, which issues the draft as it stands and takes effect today, and Discard draft. Publish is greyed out until the draft says what changed, if an earlier version was published.
- A published version opens as a read-only preview. Unless it's the one in force, Restore as new version opens the publish sheet with its text, ready to edit and issue again.
- Edit details, in the card's menu, opens the policy's details. Select Edit details again in that sheet's menu to change its name and short description.
To take a policy off your hub or delete it, see Unpublish or delete a policy. To publish it in other languages, see Publish a policy in other languages.
