Invite a teammate
Send a colleague an invitation to your workspace, follow it while it waits to be accepted, and withdraw it if you need to.
You invite colleagues from Settings › Members, and they accept from the email the invitation sends. Everyone you invite joins your workspace as an Admin.
Before you start
- Only an Admin can send invitations. Because colleagues always join as Admins, that's everyone on your team, but not a DPO.
- There's no role to pick. See Roles and permissions for what an Admin can do.
- A Data Protection Officer doesn't join by your invitation. The DPO role comes with a DPO service you buy, and an invitation to a DPO's address is refused. See Hire a DPO.
Send the invitation
- Go to Settings › Members and select Invite member.
- Enter your colleague's address in Email address. The dialog reminds you that they join as Admin and what that allows.
- Select Send invite. The dialog changes to Invitation sent, tagged Email sent. Select Done.
The invitation waits on the Pending invitations tab until it's accepted, and the audit log records who sent it. If the address can't be invited, for example because it already belongs to a member, the dialog says why and nothing is sent.
Our identity provider sends the invitation email, so it doesn't appear in your email outbox.
What your teammate sees
The link in the email opens a Join your team page. What it asks for depends on their account:
- No account yet: they choose a password. The address comes from the invitation, so nothing else is asked.
- An account with that address: the link signs them in.
- Signed in with a different address: the page says the invitation was sent to another address and offers Sign out and accept.
If their account has no first and last name yet, they're asked for both and select Continue. The page then shows Opening your workspace… and lands them on Home inside your workspace. They don't create a workspace of their own.
One exception: while your workspace's setup isn't finished, an Admin who opens it is taken to the setup steps that remain.
Track or withdraw an invitation
The Pending invitations tab lists every invitation not yet accepted, with its Email, Role, who it was Invited by and its Expiry date. An invitation that has lapsed stays in the list, marked Expired.
To withdraw one, select Revoke on its row, then Revoke invitation. The link in the email stops working, the invitation leaves the list and the audit log records the revocation.
There's no resend button. To send a fresh link, for an expired invitation or one that went astray, revoke it and invite the same address again.
If the link doesn't work
When an invitation can't be accepted, the page says it may have expired or been withdrawn and offers Go to your workspace. Ask an Admin to revoke it, if it's still listed, and to invite you again.
